By booking a tour or service with Earth Adventure (EA), you agree to be bound by these Terms & Conditions and our Privacy Policy. This applies to all participants booked under your name. By confirming your booking, you acknowledge you have read, understood, and accepted these conditions.
1. Bookings
• At the time of booking, you must provide all relevant details (which may vary depending on the tour/service) and make full payment.
• Once EA accepts your booking, we will issue a confirmation outlining your tour or service details. Upon confirmation, a binding contract exists between you and EA.
2. Gift Vouchers
• Gift vouchers are non-refundable.
• Please refer to the specific Gift Voucher Terms & Conditions for detailed information on usage, validity, restrictions, and extensions.
3. Cancellation Policy
3.1 Cancellation by You
Cancelled bookings will incur charges, which may be up to 100% of the total booking cost. Fees may also apply for changes or rescheduling. If EA incurs any cancellation fees from suppliers, you agree to indemnify EA for that amount.
Half Day Tours (including: Torrens Kayak, Rock Climb & Abseil Morialta & Rock Climb and Abseil Onkaparinga):
• Up to 72 hours prior: Full refund (excluding any credit card fees & bookings made with gift vouchers), or change of date.
• 48 hours prior: Change of date permitted — no refunds.
• Within 24 hours: 100% cancellation fee applies — no refunds.
Full Day Tours:
• Up to 7 days prior: Full refund (excluding credit card fees, booking fees, charges incurred by 3rd party suppliers and bookings made with gift vouchers), or change of date.
• 7 days – 72 hours prior: Change of date or 50% refund.
• Within 72 hours: 100% cancellation fee — no refund.
Extended/Multiday Tours:
• More than 60 days prior: Fully refundable (excluding transaction or booking fees, or bookings made with gift vouchers).
• 30–60 days prior: 25% of total booking price.
• 14–30 days prior: 50% of total booking price.
• Less than 14 days prior: 100% of total booking price.
3.2 Cancellation by EA
EA may cancel a tour/service prior to departure due to circumstances beyond our control (e.g., mechanical breakdown, weather, staff illness). In such cases, you may:
• Transfer your booking to an alternative date/tour, or
• Receive a full refund of all monies paid (excluding bookings made with gift vouchers).
4. Tour Alterations
• Minor amendments to tour programs may occur due to unforeseen circumstances. These will not materially impact the tour experience.
• In cases of extreme weather or force majeure, programs may be altered prior to departure. If possible, tours will be rescheduled to an alternative date.
• EA will always try to rearrange and modify the program rather than cancelling, however in rare cases where a tour cannot run at the planned location/date, you may rebook for a later date or, at EA’s sole discretion, receive a partial refund.
• In cases where a third-party supplier cancels a portion of activity EA will where possible replace it with an alternate activity. EA will do its best to notify you of the change prior to departure.
5. Amendments to Bookings
Day Tours:
• Amendments allowed up to 48 hours before departure.
• $20 change fee per person applies.
• After 48 hours, standard cancellation fees apply.
Extended Tours:
• Amendments allowed up to 72 hours before departure.
• $100 change fee per person applies.
• After 72 hours, standard cancellation fees apply.
6. Child Policy
• Children are permitted on selected tours only and must be accompanied by a paying adult.
• Child rates apply to ages 8–17 years (day tours only).
• Refer to the specific tour for minimum age requirements.
• Infants and children under 8 years are not permitted.
• Prams and strollers are not permitted due to luggage and safety restrictions.
7. Luggage Policy
• Day Tours: No luggage storage is available. Inappropriate luggage (including strollers) may result in refusal to board.
• Multi-Day Tours: Maximum 23kg per person.
8. Guaranteed Departures
• Tours require a minimum of 4 fully paid bookings to operate.
• If minimum numbers are not met, you will be offered a full refund (excluding credit card fees & bookings made with gift vouchers) or transfer to another date/tour.
9. Failure to Attend
If you fail to arrive at the designated meeting point on time, you will be deemed a no-show and no refund will be provided.
10. Tour Leaders & Conduct
• EA leaders are trained professionals whose instructions are for your safety and enjoyment. Our leaders all undertake a rigorous training program which ensures they are elite in the area in which they are running programs. It also means you can relax and feel confident that you’re safe in good hands. Any instruction provided by the guide is made for the enjoyment, safety and well-being of you and all other tour participants
• Failure to follow guide instructions or any behaviour that endangers others may result in removal from the tour without refund.
• EA reserves the right to refuse participation if you appear under the influence of drugs/alcohol or display aggressive, dangerous, or threatening behaviour.
11. Accommodation Standards
Accommodation type will be specified per tour. The rating of the property or site is indicative of an Australian standard and may differ from your home country:
• Tent Camping: Shared 2–3 person tents; outdoor dining and communal areas.
• Hostel Dormitory: A budget style accommodation offering dormitory rooms with several bunk beds in one room, toilet and shower facilities are shared but in house. The facilities can often offer limited facilities like a shared lounge and kitchen.
• Hotel: Twin, triple, or family rooms; private or shared facilities; amenities vary.
12. Accuracy of Content
Whilst we endeavour to keep our product descriptions up to date and accurate at all times, there may be instances where a 3rd party supplier does not inform us of changes. As soon as we are made aware, we will always ensure we pass this information on to you. Should any of these changes constitute a major change, please refer to our changes by us section.
13. Registration & Disclaimers
All participants must complete required registration forms and disclaimers before participating. Failure to do so will result in non-participation.
14. Vehicles
• No food or drinks (other than water) allowed.
• Smoking, alcohol, or drugs are prohibited.
• Seat belts must be worn at all times.
15. Equipment Use
Any equipment provided during a tour remains property of EA. The equipment is expected to be returned in the same state as it is received. You are expected to use the equipment safely and in accordance with EA staff instructions. If any destruction is to occur, EA will be reimbursed for any damages to equipment or facilities caused through willful actions of participants attending the program.
16. Photos & Videos
Pictures and video of you whilst on an EA program may be subject to use by us. You consent to us using images of you taken during the trip for advertising and promotional purposes in any medium we choose. You grant us a perpetual, royalty-free, worldwide, irrevocable licence to use such images for publicity and promotional purposes.
17. Travel Insurance
We strongly recommend purchasing comprehensive travel insurance at the time of booking to cover:
• Illness, injury, or death
• Lost/damaged baggage
• Cancellations or lost deposits
• Medical expenses
Please note that travel insurance offered by credit card companies may not be considered adequate cover.
18. Amendments to T&Cs
EA may update these Terms & Conditions at any time without notice. Please check the latest version before booking.
19. Jurisdiction
The terms and conditions provided herein shall be governed by and construed in accordance with the law in effect in the state of South Australia, Australia.
20. Dietary & Medical Requirements
• For tours under 1 day: Notify us at least 24 hours before departure.
• For tours over 1 day: Notify us at least 72 hours before departure.
While we make every effort to accommodate dietary needs, we cannot guarantee all requirements will be met if:
• Notification is provided after the required timeframe
• If the meal is supplied by a third-party provider.
21. Privacy Policy
EA regards your privacy and all personal information is collected and stored in line with the Privacy Act 1988. We are committed to the responsible collection, handling, storage, disclosure and destruction of personal information, as specified in the Privacy Act and all relevant state legislation. EA will collect personal information only by lawful and fair means and not in an unreasonable or intrusive way.
By booking a tour with EA you are agreeing that we may contact you in relation to feedback about a tour which you have undertaken with us. In the event, you do not wish to receive any correspondence from us, please select the easy opt out button to discontinue any communication.
