If you wish to book a tour with Earth Adventure then you (or any other person booked by you) agree that the following terms and conditions and privacy policy shall apply. By booking with EA you acknowledge you have read and consent to the EA conditions and policies.

Booking – At the time of booking you will be asked to supply all relevant booking detail (which may vary depending upon the type of tour or service booked), and make full payment for the EA tour or services purchased. Once EA accept your booking, a confirmation with your tour or service details will be issued. Upon issue of the confirmation a contract will exist between you and EA.

Cancellation Policy –

Cancellation of Tour or Service (By You) – Cancelled bookings will incur charges. These charges can be up to 100% of the cost of the booking, regardless of whether travel has commenced. Fees may also apply where a booking is changed or re-scheduled. Where we incur any liability for a cancellation fee or charge for any booking which you cancel, you agree to indemnify us for the amount of that fee or charge.

Cancellation Fees for all tours are:

Day Tours

  • More than 30 days prior to departure: $20 administration fee.
  • 72 hours – 30 days prior to departure: 25% fee of total booking price.
  • 48 – 72 hours prior to departure: 50% fee of total booking price.
  • 24 – 48 hours prior to departure: 75% fee of total booking price.
  • Less than 24 hours prior to departure: 100% fee of total booking price.

Extended Tours

  • More than 30 days prior to departure: $20 administration fee.
  • 22 – 30 days prior to departure: 25% fee of total booking price.
  • 15 – 21 days prior to departure: 50% fee of total booking price.
  • Less than 14 days prior to departure: 100% fee of total booking price.

Cancellation of Tour or Service (By EA) – EA reserve the right to cancel a tour or service at any time prior to departure should operational considerations outside of its control dictate (i.e. mechanical breakdown, staff sickness). In this event you can transfer amounts paid to an alternate departure date / tour or service, or alternatively receive a full refund of your booking price.

Alteration of Tour or Service – From time to time some minor amendments must be made to the tour program due to unforeseen circumstances, these small changes will not impact the tour outline or detract from the groups enjoyment. In this case we would refer to these changes as “minor” and inform you with the final tour outline.

In the case of extreme weather and/or force majeure, EA has contingency plans for all tours and activities. The program may be altered at any time up until departure based on these conditions. If possible you can be rescheduled to an alternate date for the same tour or activity.

EA will always try to rearrange and modify the program rather than cancelling, however in the event of catastrophic unforeseen circumstances it may be feasible that an entire tour is not able to run at the planned location or on the planned departure date. In this case you are able to re-book your tour at a later date or a partial refund may be arranged at EA’s sole discretion.

Amendment of Booking (Day Tours) – If any amendment to the booking is required there will be a $20 change fee required per person. Amendments of bookings are available up until 48 hours prior to the tour or activity, otherwise standard cancellation fees will apply.

Amendment of Booking (Extended Tours) – If any amendment to the booking is required there will be a $100 change fee required per person. Amendments of bookings are available up until 72 hours prior to the tour or activity, otherwise standard cancellation fees will apply.

Child Policy – Children are permitted on selected tours; however they must be accompanied by a paying adult. Children rates are available on selected day tours for children between the ages of 12 to 17 years, we do not accommodate infants or children below the age of 12 years old. Due to limited luggage restrictions, pushers and prams are not permitted on tour.

Luggage Policy –

Luggage for day tours – There are no luggage storage facilities on day tours. Any inappropriate luggage presented on the departure day (including strollers) may result in refusal to attend the tour.

Luggage for multi day tours – Maximum of 23kg per person.

Guaranteed Departure – EA tours are guaranteed to depart once they have four (4) fully paid and confirmed bookings., subject to the previously mentioned conditions. Should a tour not reach its minimum numbers and is cancelled, a full refund or transfer to an alternative date or tour will be offered.

Failure to Attend – If you fail to arrive at the designated meeting spot for your tour or activity at the correct time, EA reserve the right to deem you as a cancellation and a refund will not be provided.

Tour Leaders – Our leaders are employed for their expertise, experience, and ability to entertain people. Our leaders all undertake a rigorous training program which ensures they are elite in the area in which they are running programs. It also means you can relax and feel confident that you’re safe in good hands. Any instruction provided by the guide is made for the enjoyment, safety and well-being of you and all other tour participants. If you fail to comply with these instructions or interfere with the well-being of the group, the tour leader can direct you to leave the tour immediately, and you shall have no right of refund.

EA reserve the right to refuse access to the tour should you be deemed to be under the influence of drugs or alcohol, show aggressive, dangerous or threatening behavior.

Accommodation – Accommodation type will be stated for each individual tour. The rating of the property or site is indicative of an Australian standard and may differ from your home country.

Tent camping – typically a 2-3 person tent erected and taken down by the group. Dining and communal area will be outdoors.

Hostel dormitory – a budget style accommodation offering dormitory rooms with several bunk beds in one room, toilet and shower facilities are shared but in house. The facilities can often offer limited facilities like a shared lounge and kitchen.

Hotel – named establishments normally with twin, triple and family rooms, often with private or shared facilities. Various facilities may be on offer such as dining, lounge, café/bar area.

Accuracy of Content – Whilst we endeavour to keep our product descriptions up to date and accurate at all times, there may be instances where a 3rd party supplier does not inform us of changes. As soon as we are made aware, we will always ensure we pass this information on to you. Should any of these changes constitute a major change, please refer to our changes by us section.

Registration/ disclaimer

All participants must complete specific activity registrations and disclaimers. Failure to complete these disclaimers will prevent participation in the specific activity.

EA Vehicles – No food or drinks, other than water, can be consumed in the vehicle at any time, and smoking, alcohol or drugs are not allowed in the vehicle at any time.

As per Australian road laws, passengers must wear the fitted seat belts at all times while travelling in the vehicle.

Use of Equipment – Any equipment provided during a tour remains property of EA. The equipment is expected to be returned in the same state as it is received. You are expected to use the equipment safely and in accordance with EA staff instructions. If any destruction is to occur, EA will be reimbursed for any damages to equipment or facilities caused through wilful actions of participants attending the program.

Photos and Videos – Pictures and video of you whilst on an EA program may be subject to use by us. You consent to us using images of you taken during the trip for advertising and promotional purposes in any medium we choose. You grant us a perpetual, royalty-free, worldwide, irrevocable licence to use such images for publicity and promotional purposes.

Travel Insurance – EA recommend all guests have travel insurance and should be taken out at the time of booking prior to tour departure. We also strongly recommend it cover costs associated with illness, injury, death, loss of or damage to baggage and personal items, cancellations, loss of deposit, medical and hospitalization expenses. Please note that travel insurance offered by credit card companies may not be considered adequate cover.

Amendment of Terms and Conditions – EA may occasionally make amendments to these terms and conditions at any time and without notice. It is your responsibility to make sure you have checked the updated conditions at the time of booking.

Jurisdiction – The terms and conditions provided herein shall be governed by and construed in accordance with the law in effect in the state of South Australia, Australia.

Dietary Requirements – Please notify EA with any dietary requirements, medical conditions 24 hours prior to departure day for <1 day tours, 72 hours prior to departure for >1 day tours.

Privacy Policy – EA regards your privacy and all personal information is collected and stored in line with the Privacy Act 1988. We are committed to the responsible collection, handling, storage, disclosure and destruction of personal information, as specified in the Privacy Act and all relevant state legislation. EA will collect personal information only by lawful and fair means and not in an unreasonable or intrusive way.

By booking a tour with EA you are agreeing that we may contact you in relation to feedback about a tour which you have undertaken with us. In the event, you do not wish to receive any correspondence from us, please select the easy opt out button to discontinue any communication.
